Good morning, MARUG.
The board has been reviewing our user group by-laws during our meetings over the past several months. Articles in particular that we felt needed to be updated were those having to do with officers and elections.
For a few years now the board has functioned with more than the 4 officers that is stated in the current by-laws. We realized that we needed more energy on the board and began to ask at our May and October user group meetings for volunteers
to participate with the board. Although not listed as officers, they are vital members of the board. Their input and ideas are invaluable to the board and also to the entire user group as they represent you. Every member of the board plays an important part
in getting us ready for conferences, representing our RUG to Jack Henry, and generating collaboration among our FIs.
In light of this we would like to change the by-laws to include additional members of the board. I have attached the proposed by-laws (which will be voted on at the May conference.
Articles VI, VII, and VIII contain the proposed changes (in case you don’t want to read the entire document). Most of the points are the same but might have been moved to a different article. The major change are listed below.
Current: Officers of the Mid-Atlantic Regional User Group shall consist of a President, Vice President, Secretary, Treasurer and Past President.”
Proposed changed:
The board is comprised of 5-8 individuals which represent a minimum of five member institutions.
Reason for change: We would like to include more members to the board and have a good representation of FIs from our user group.
Current: “All elections shall be held annually, by Proxy voting before the next Spring Mid-Atlantic Regional User Group meeting".
Proposed changed:
All elections shall be held annually at the next Spring Mid-Atlantic Regional User Group meeting. The President will notify the general membership of the results. Newly elected board members will take office at the end of the Mid-Atlantic Regional User Group
meeting.
Reason for change: We would like to vote at our spring conference where we have opportunity to be together and get to know the person for whom we are voting. There will be one ballot per FI, but each person
present for your FI can give input to the one submitting the ballot.
Now that you are aware of the changes…we would like to invite you to participate with us on the board.
We have a couple of openings that we would like to fill. If you are interested in serving with us, please submit a short bio so that we can get to know you. Please submit this bio to any officer of the board listed below.
